1. Quotation Process

PMC Solar (Pty) Ltd ("PMC Solar", "we", "us", or "our") provides customised solar energy system quotations based on site-specific assessments. Each quotation is prepared following a detailed evaluation process, which may include, but is not limited to:

  • Travel to and from the client's premises

  • Visual inspection and technical assessment of the site

  • Aerial drone deployment for roof inspection and measurements

  • High-definition aerial photography and data capture

  • Importing and processing of collected data into specialised solar design software

  • Design of a proposed panel layout and system configuration

  • Consultation with the client regarding requirements, budget constraints, and system limitations

This process typically requires approximately two (2) hours or more of professional time, as well as the use of specialised equipment and software.

2. Quotation Validity

All quotations issued by PMC Solar are valid for a limited period as stated on the quotation. Prices, component availability, and installation timelines may change after the validity period expires.

3. Quotation Declination Fee

In the event that a client elects not to proceed with a quotation after PMC Solar has completed a site visit and proposal preparation, PMC Solar reserves the right to charge a Quotation Declination Fee.

This fee is intended to partially recover costs incurred, including but not limited to:

  • Labour and professional time

  • Travel and fuel expenses

  • Drone operation and aerial surveying

  • Software usage and system design work

4. Effort to Accommodate Client Requirements

PMC Solar makes reasonable efforts to accommodate the consumer's needs and financial constraints, including:

  • Engaging with the client to understand budget limitations

  • Re-analysing system configurations where feasible

  • Clearly explaining the technical, safety, and performance limitations of reduced system designs

4.1 Should the client nevertheless elect not to proceed, the Quotation Declination Fee may still apply.

5. Reasonableness of the Fee (CPA Sections 48 & 41)

The Quotation Declination Fee:

  • Is not a penalty, but a charge for work already performed

  • Reflects actual time, labour, and operational costs incurred

  • Is charged in good faith and is fair, reasonable, and justifiable, as required under Section 48 of the CPA

5.1 PMC Solar does not misrepresent the nature, cost, or necessity of this service, in compliance with Section 41 of the CPA.

6. Waiver of Declination Fee

At the sole discretion of PMC Solar, the Quotation Declination Fee may be waived in circumstances where the client proceeds with an installation agreement or where PMC Solar elects to do so for commercial or goodwill reasons.

7. Acceptance of Terms

By requesting a site visit, assessment, or quotation from PMC Solar, the client acknowledges and agrees to these Terms & Conditions, including the potential application of a Quotation Declination Fee.
